The All EY Learning Services Specialist (LSS) is an experienced learning professional responsible for supporting the deployment, planning and delivery of All EY and Core Business Services (CBS) learning initiatives and other special projects (e.g. Milestones). The incumbent in this role needs to be able to work independently while collaborating with team members on a regular basis.

Position description:

This role works closely with and will report to the All EY Learning Team and may work with other Talent Development and Learning (TD&L) Leaders on special projects. This role also collaborates with TD&L Coordinators and Specialists on the logistical planning of training events and off-site accommodations and management of on-site support staff.

The position may at times require early morning or evening commitments and overtime may be required near project deadlines and when events are being coordinated.

The location of this position is open, and bilingual is preferred.

Your key responsibilities

Deployment
• Work with TD&L team to determine training needs and identify target learners
• Manage calendaring of learning events and deployment of courses
• Draft and work with Global Delivery Services (GDS) and TD&L team members to send participant communications, monitor class consumption and follow up
• Work with translation for communications and materials
• Ensure Continuing Education (CE) credits are granted for each learning event
• Assist with or review evaluation summary reports and distribute to key stakeholders
• Ensure learning databases are maintained
• Demonstrates creative thinking to address the learning needs of the business
• Possesses strong vendor management skills working closely with external providers

Instructor Management
• Coordinate with instructors, confirm their availability and schedule accordingly
• Prepare instructors for their learning event, support them prior to, during and after the session
• Draft and prepare instructor communications
• Update instructor database for tracking and reference
• Participates in Train the Trainer and Facilitator Preparation meetings as required
• Curates content to provide to instructors
• Provide summary feedback reports to instructors

Project Management
• Establishes a plan, determines the priorities and defines the process and steps required to achieve the identified objectives on any assigned special projects
• Collaborates and drives implementation of Global, Americas and Regional learning projects/initiatives from beginning to end (examples of special projects would include the coordination of Canadian participants for Milestones Transitional programs)
• Update All EY/CBS SharePoint site pages, and the Canadian Learning Resource Schedule
• Draft communication plans to communicate All EY/CBS learning opportunities
• Additional ad-hoc projects as required

Analytical/decision making
• Works with the All EY/CBS team to manage and prioritize learning requests from Service Line and Sub-Service Line Leaders
• Provides suggestions based on a good understanding of firm and business objectives and needs analysis
• Supports continuous process improvement opportunities across the TD&L team
• Supports standardizing and simplifying local processes and aligning to globally defined processes

Budget and spend analysis
• Assist with administrative processes for external vendors (contracts and invoices)
• Review invoices and work with finance to account for All EY/CBS costs
• Monitors program budgets on an ongoing basis
• Assist with administrative processes for managing participant attendance to Milestones programs
• Track the overall All EY/CBS chargebacks and/or expenses
• Assist with annual budget planning as required

Skills and attributes for success
• Strong relationship management skills
• Strong attention to detail
• Strong understanding of the business, the strategies and priorities, and how they translate into learning and development needs will be an asset to enable the ideal candidate to manage stakeholder expectations and to build consensus
• Strong organizational and project management skills, able to coordinate multiple projects/initiatives simultaneously and meet demanding time frames
• Strong communication skills and ability to work effectively with multiple stakeholders across the organization at all levels
• Demonstrated ability and confidence working with technology and learning new software
• Experience with SAP SuccessFactors Learning Management Platform is preferred
• The ideal candidate will have a post-secondary education, preferably with a focus on adult education, so that it enables the candidate to use their skills to acquire and apply expertise to the EY learning environment
• Proficient in advanced capabilities in Excel, PowerPoint, Power Query including pivot tables and v-lookup
